In short
Chakaap gives an insurer a dedicated intake address. Claim emails, PDFs, photos and forms sent to it are read by an AI agent that extracts the key fields (policy number, claimant, loss date, amount, documents present), checks them against rules you configure, and routes the case: to a handler, back to the claimant for missing documents, or to a fraud review queue. Every action is written to an audit trail that a person can review.
Where claims time goes
Most claim files start the same way. A notification arrives by email with a mix of attachments: a claim form, an invoice or estimate, photos, an ID document, sometimes a police or medical report. Before anyone can assess the claim, someone has to open every file, find the policy, retype the key details into the claims system and decide who should handle it.
That first pass is repetitive, but it is also where errors start: a policy number copied wrong, a missing document noticed a week later, or a case sitting in a shared inbox because nobody was sure whose it was.
What Chakaap does with a claim
- Receives claim emails and attachments at a dedicated Chakaap address, or forwarded from your existing claims inbox.
- Extracts structured fields from forms, invoices and reports: policy number, claimant, loss date and location, claimed amount, and which documents are present.
- Checks the extracted facts against rules you set: is the policy number in the expected format, is the loss date inside the cover period you supplied, is a required document missing, is the amount above a referral threshold?
- Routes each case: to the right handler or team, back to the claimant with a list of what is missing, or to a review queue when a rule flags it.
- Records every action (what arrived, what was extracted, which rule fired, where it was sent and who approved) as a structured entry in an audit trail.
A worked example
A motor claim arrives by email at 9:40 on a Monday. It has a claim form (PDF), a garage estimate for NPR 185,000 and four photos. It has no copy of the driving licence.
| Step | What Chakaap does | What is recorded |
|---|---|---|
| Receive | Opens the email and its five attachments | Message ID, sender, time, attachment list |
| Extract | Reads the form and estimate: policy number, vehicle, loss date, estimate total | Each field with the file and page it came from |
| Check | Finds the licence missing; the estimate is above the NPR 150,000 referral limit you set | Which rules ran and which fired |
| Act | Drafts a request to the claimant for the licence and assigns the case to a senior handler | The draft, the assignment and the reason |
| Review | The handler approves the draft before it is sent | Who approved, and when |
The handler starts with a case that is already summarised, with the missing item requested and the reason for the referral written down, instead of an unopened email.
People stay in control
Chakaap is built around controlled actions. You decide which actions it may take on its own (for example tagging and routing) and which need a person to approve (for example anything sent to a claimant, or any decision about payment). It does not approve or pay claims. Its job is to prepare the work and keep the record.
Where it fits in underwriting and operations
The same pattern works outside claims: proposal forms and supporting documents for underwriting, endorsement requests, renewal reminders and broker emails. Each is received, read, checked against the rules you configure, routed and recorded.
Questions
Does Chakaap decide whether a claim is paid?
No. Chakaap reads, extracts, checks and routes. Decisions about cover and payment stay with your handlers, and any action you mark as needing approval waits for a person.
What documents can it read?
Emails and common attachments such as PDF forms, scanned documents, invoices, estimates and images. Extraction quality depends on how legible the document is, which is why every extracted field is recorded with its source so a person can check it.
Do we have to replace our claims system?
No. Chakaap works through the channels you already use, starting with email, and prepares structured data and actions for your existing systems and teams.
How is each action recorded?
Each step (what arrived, what was extracted, which rule fired, what action was taken and who approved it) is written as a structured record in an audit trail you can review.
Is Chakaap available now?
Chakaap is in early access: it is being rolled out to a small group of institutions, features arrive over the coming weeks, and we set up every early-access account with you personally.
